π Dream Builders Holiday Club Policies
We want every child to have a safe, enriching, and joy-filled experience at Dream Builders. Below you'll find our key policies designed to protect the wellbeing of all attendees, staff, and families.
π Safeguarding & Child Protection
All staff and volunteers are enhanced DBS-checked and trained in safeguarding.
A Designated Safeguarding Lead (DSL) is present on-site at all times.
We follow national child protection guidelines and respond to any concerns swiftly and appropriately.
Children are always supervised, with the following adult-to-child ratios:
Ages 6β8: 1 adult per 8 children
Ages 9β12: 1 adult per 10 children
π₯ Health, Safety & First Aid
We carry out daily risk assessments before each session begins.
Our site is secure, with a clear sign-in and sign-out procedure for parents or carers.
At least one First Aid trained staff member is on-site at all times.
In case of illness or emergency, parents will be contacted immediately via the information provided on the registration form.
π¨βπ©βπ§ Drop-off & Pick-up Procedure
Children must be dropped off between 8:50β9:00 AM and collected between 2:50β3:00 PM.
Only named adults listed on your childβs registration form will be allowed to collect them.
Parents arriving later than 4:00 PM without prior notice may incur a late collection fee.
π€ Behaviour & Inclusion
Dream Builders is an inclusive space where kindness, respect, and cooperation are expected.
We do not tolerate bullying, aggressive behaviour, or language that harms others.
If any behavioural issues arise, we use a three-step approach:
Verbal reminder and redirection
Calm time with staff and discussion
Parent contact and, if necessary, suspension from the programme
Our environment supports children of all abilities, and we ask that any additional needs are shared in advance so we can plan appropriate support.
π Food, Allergies & Health
Please provide your child with a nut-free packed lunch, snacks, and a refillable water bottle.
We do not allow energy drinks or fizzy drinks.
All allergies, medical needs, or dietary restrictions must be disclosed at the time of booking.
Children will not be allowed to share food to minimise risk.
π· Photography & Media
Photos and short videos may be taken during the club for use in Dream Buildersβ promotional materials, website, and social media.
This will only be done with express consent from parents/guardians during the registration process.
No names will be shared publicly with images.
π¬ Communication & Feedback
We maintain open communication with families and are happy to discuss any questions or concerns before, during, or after the camp.
Daily updates and reminders may be shared via email or WhatsApp.
Feedback surveys may be sent out at the end of the club, as your input helps us grow!
πΈ Fees, Refunds & Cancellations
Full payment is required in advance to confirm your childβs place.
Cancellations made 7+ days before the start date are eligible for a refund minus a Β£10 admin fee.
Cancellations within 7 days of the camp start date are non-refundable.
In rare cases where Dream Builders must cancel a session, full refunds will be issued.
π Data Protection
All personal information is stored securely and handled in accordance with the UK GDPR guidelines.
We never share your data with third parties.

By enrolling in the Dream Builders Holiday Club, you confirm that:
You have read, understood, and agree to these policies.
You give consent for first aid to be administered in an emergency.
You consent (or decline) to your child being photographed as indicated on your registration form.
